AlleyTrak Version 5.171.0 Introduces Waitlists, Weekly Subscription Renewals, Subscription Charge Limits, Lane Characteristic Controls, and More
AlleyTrak version 5.171.0 introduces several new tools designed to help facilities better manage busy periods, recurring payments, multi-activity locations, and the customer checkout experience.
This release includes Waitlists, Weekly Subscription Renewals, Subscription Charge Counts, Lane Characteristic Customizations, an Override All utility, Customizable Package Order Details Messages, and Sales Tax Definitions.
New AlleyTrak Waitlists
We're excited to introduce Waitlists in AlleyTrak, giving facilities a simple way to manage customers when demand exceeds available lanes or bays.
Waitlists are designed to help facilities better manage busy periods, particularly when handling a high volume of customers and walk-ins.
When checking in a customer, staff can add them to the waitlist by entering:
Customer name
Phone number
Number of guests
Additional notes
When a lane or bay becomes available, facility staff can notify the customer directly from the waitlist. AlleyTrak will automatically send the customer a text message to notify them they are ready to check in.
Waitlist entries can also be converted directly into an event, taking staff to the reservation editor where they can complete the remaining event details and finalize the event details.
If a customer no longer needs a lane or does not return, staff can archive the waitlist entry to keep the active waitlist organized.
Facilities can customize the customer notification message under Settings > App Settings.
Because Waitlists use text message notifications, this feature is available to facilities on the Ultimate subscription/plan.
Weekly Subscription Renewals
AlleyTrak subscriptions now support weekly renewal schedules, giving facilities additional flexibility when setting up recurring customer payments.
Weekly subscriptions are particularly useful for facilities managing leagues, memberships, or other programs where customers make recurring weekly payments.
For example, a facility running a bowling league can now configure customers to be charged automatically on a weekly basis rather than monthly payments or a single upfront payment.
Subscription Charge Counts
AlleyTrak subscriptions can now optionally include a maximum number of charges.
This makes it possible to configure subscriptions that automatically renew for a defined number of billing cycles and then stop charging the customer.
For example, a facility could create a league subscription that charges a customer the same amount once per week for 36 weeks. Once the 36th charge has been processed, the subscription will no longer renew.
Combined with weekly renewals, this provides facilities with a straightforward way to manage recurring league payments without requiring staff to manually track the number of remaining payments.
Lane Characteristic Customizations
We've added a new package-level setting that allows facilities to enable or disable lane/bay characteristics during the booking workflow.
This is particularly useful for facilities that manage multiple activities or attractions from the same location.
For example, a facility might use lane characteristics when booking bowling or open-play events, while its sports simulator bays or other rooms may not require characteristics at all.
Facilities can now configure packages according to the needs of each activity, providing a more streamlined booking experience for both customers and staff.
New "Override All" Utility
The reservation editor now includes an Override All control that allows facility staff to bypass availability restrictions with a single action.
This can be useful when staff need to create or modify a reservation that would otherwise be prevented by normal availability rules.
Override All can bypass restrictions including:
Past-time restrictions for the current day
Reservation blocks
Reservation buffers
Package availability
Minimum duration requirements
Minimum required lane requirements
Rather than manually overriding individual restrictions, staff can now use a single control when they need to make an exception.
Customizable Package Order Details Message
Facilities can now define a custom Order Details Message at the package level.
The Order Details Message is displayed to customers during checkout when they review their order details, immediately before entering their payment information.
Package-level customization allows facilities to provide instructions or additional information that is specific to the activity or package being booked.
This is especially useful for facilities that offer multiple activities or attractions from the same location, where customers may need different instructions depending on what they are booking.
For example, a bowling package could include bowling-specific information, while a sports simulator package could provide instructions specific to simulator reservations.
New Sales Tax Definitions
We've introduced a new sales tax definition at the location/activity level, giving facilities more flexibility in how taxes are presented throughout AlleyTrak.
Facilities can now define their tax terminology as:

Sales Tax
GST
VAT
The selected tax definition is reflected throughout the customer experience and facility administration, including the checkout process, AlleyTrak admin panel, and customer email communications.
This provides greater flexibility for facilities operating in different regions or using terminology specific to their market.
